SAMPLE SUBMISSION FORMAT - Announcements

Information, Web Links, etc.
It is a privilege and joy to support our fellow homeschoolers by publishing the H.E.R.O. e-newsletter each week. It is a meaningful, valuable investment of our time, energy, and resources. It is, however, a time-consuming endeavor. Therefore, we require the assistance of our subscribers to help maximize our time investment by asking each of you to submit your announcements properly formatted for the H.E.R.O. newsletter. This allows us to copy and paste a lot of the information without having to re-type or re-format it when compiling the weekly H.E.R.O. newsletter.
WHY IS THE FORMAT IMPORTANT?
That is a great question! We value your time as well, and we have found that by having a consistent format for every announcement it makes it easier for our subscribers to scan through the newsletter to find the announcements that are of interest to them, and information can be found and utilized quickly, easily, and efficiently. We feel that a well-organized newsletter is professional looking and user friendly.
EDITING
The Moderator reserves the right to edit a submission for grammar, spelling, length, and format. Our goal with editing is to polish and streamline the information without altering the meaning of what is being communicated.
ANNOUNCEMENT FORMAT
Below is the general submission format for the ANNOUNCEMENTS section. Each submission will be slightly different depending upon
the information being shared, but they should all use the same format.
All announcements should use the same line titles as described
below (i.e. always use WHEN, do not use DATE; use WHERE, not LOCATION
or PLACE). Some announcements will not need all of the
line titles (i.e. an announcement may not have a registration deadline)
so those that do not apply may be left off.
Remember ... Brevity is key! Only
include the most imortant highlights. Interested parties will contact
you for more details.
Type the TITLE in caps along with each line title (such as WHEN,
CONTACT) . Do not use italics, bold-facing, or underlining
in your submissions. Do not use tabs. Do not type words in caps for emphasis in the body of your description
Announcement formatting
TITLE IN CAPS
[Submitted by First & Last Name]
Brief description of event, activity, etc. (One brief paragraph
containing the most important highlights; interested families
will contact the contact person or web site for more details.)
WHEN: Day, date, time
WHERE: Location name, address, and city of event (you may include
crossroads if you like, but not detailed directions please)
COST: Cost per person (indicate if children under a certain
age are free, earlybird discounts, etc.)
DEADLINE: Sign up or payment deadline,
if applicable
CONTACT: Include first and last names of person to contact,
phone number, e-mail, etc.
WEBSITE: Include web address if there is a web site pertaining
to this event or resource.
Sample Announcements
Here are a couple of sample announcements for your reference.
AFHE HOMESCHOOL SWIM NIGHT AT HAMILTON AQUATIC CENTER

Join us for a fun family event to celebrate the end of the school
year at the exciting Hamilton Aquatic Center! We have reserved
the facilities for our exclusive use. The pool is heated! This
event will take place rain or shine—come join us for an
evening of fun! Snacks will be available for purchase or you may
bring your own. Modest swimwear is required to preserve the wholesome
family-friendly atmosphere we seek to create. Thank you for your
cooperation. NOTE: The only pool toys permitted are beach balls
and noodles. No water wings, rafts, or tubes. PFDs (personal floatation
devices) are only allowed if they are labeled as Coast Guard
approved. Swim diapers are required for babies and toddlers
at all times.
WHEN: Saturday, May 3, 2008 - 5:30 to 10:00 PM
WHERE: Hamilton Aquatic Center, 3838 S. Arizona Ave., Chandler
(NW corner of Arizona Ave. and Ocotillo Rd.)
COST: $5 per person - pay at the door

CHESS ANYONE? - HOMESCHOOL CHESS CLUB - TEMPE

Come check us out and if you'd like to sign up, the information will be there. Kids will learn to play chess, improve their strategy, and be challenged in their current abilities. There will be instruction by teacher, Jeff Flynn, (in the top 4% of all chess players in the USA), fun games, tournaments, and prizes. All the parents and kids love having Jeff as a coach and teacher.
WHEN: Tuesdays, starting October 20, 2009, 12:00 - 1:00 PM
